Fixh Assistant: the WhatsApp chatbot powered by Fixh AI for your repair shop

Fixh Assistant is the Windows app that answers customers on WhatsApp using your management software data: repair status, quotes from the warehouse, product availability, opening hours and appointments, even when the shop is busy or closed.

Fixh Assistant is the Fixh IT virtual assistant for WhatsApp: a Windows app that connects to your shop's WhatsApp number and answers customers with the real information stored in the management software. Thanks to Fixh AI it understands freely written questions ("is my phone ready?", "how much is an iPhone 13 screen replacement?", "are you open on Saturday?") and replies within seconds with the repair status, the price taken from the warehouse, part availability, opening hours or a free appointment slot.

Why it matters for a repair shop

In a smartphone and PC repair shop a large share of WhatsApp messages are always the same: customers asking whether their device is ready, how much a repair costs, whether a part is in stock or when they can drop by. Answering by hand interrupts work at the counter and in the lab, and messages arriving in the evening or at the weekend wait until the next day. A WhatsApp chatbot connected to the repair management software handles repetitive requests on its own, 24 hours a day, and hands over to staff only the conversations that really need a person.

In practice

Fixh Assistant connects to WhatsApp as a linked device, exactly like WhatsApp Web: you scan a QR code with the shop phone and the app starts reading incoming chats. The phone must stay on and connected. The app recognises the customer from the phone number saved in the customer directory and looks up their repairs; for quotes it asks a few targeted questions (model, part, original or compatible part, OLED or LCD screen, urgency) and answers with the list price of the part in your warehouse and its availability. If the part must be ordered, it gives the delivery time you set in the settings.

You can choose three modes: Off, Draft (the bot prepares the reply and you decide whether to send it) and Automatic (the bot replies on its own). When you write manually in a chat, the bot pauses in that conversation for the time you choose. If a request is complex, the chat is flagged with "Operator needed". With appointments enabled the bot can book, move and cancel appointments directly in the management software's appointment calendar, respecting opening hours, duration, simultaneous customers and minimum notice.

The app also sends automatic messages when the repair changes in the management software: repair opened, intervention request (recording the customer's answer) and repair completed. Each message is enabled separately, is personalised with the repair data and reaches the customer in their own language. Every generated reply is signed "Fixh AI", so customers always know who they are talking to.

Quick guide

  1. Activate the Fixh Assistant module from the License page, choosing how many PCs to use it on.
  2. Open Company > Fixh Assistant and download the Windows app.
  3. Create an API key for the app on the API keys page.
  4. Start the app and enter the key: the PC is activated and appears in the list of activated PCs.
  5. Connect WhatsApp by scanning the QR code with the shop phone.
  6. Fill in the information for the bot: business name, address and services, indicative repair times, opening hours and what to do outside them.
  7. Start in Draft mode for a few days, check the proposed replies and switch to Automatic when you are satisfied.

Real use cases

At 9 pm a customer writes "is my Samsung ready?": Fixh Assistant recognises the number, finds the open repair and replies with the up-to-date status, without anyone having to pick up the shop phone.

A new customer asks how much it costs to replace the screen of an iPhone 13: the bot asks whether they prefer an original or compatible part, reads price and stock from the warehouse and offers an appointment for the next afternoon, which goes straight into the calendar.

A shop with two workstations uses the same WhatsApp number on two PCs: Fixh Assistant coordinates the installations so that every message gets only one reply.

Tips and best practices

The more information you write in the "Your shop" section (payment methods, services, rules such as "do not promise discounts"), the more accurate the replies will be. Keep prices and stock in the product catalogue up to date, because quotes come from there. Set up statuses with the "Repair completed" function in custom repair statuses so the pick-up notice starts automatically. Use the list of numbers to ignore for suppliers and private contacts.

Common mistakes to avoid

Do not use Fixh Assistant for bulk messaging: the WhatsApp Web connection is not an official WhatsApp service and the bot is designed to answer only people who write to you. Do not switch off the linked phone, or the app will stop receiving messages. Check your credit balance: without enough credits Fixh AI does not generate replies until you top up.

Frequently asked questions

Do I need WhatsApp Business? No, it works with the WhatsApp number you already use in the shop, linked as a device just like WhatsApp Web.

How much does it cost? The app is included in the Fixh Assistant license module; every reply written by Fixh AI costs a fixed number of credits, shown on the Fixh Assistant page. Failed replies are not charged and usage is always visible.

Does the bot also answer people who are not customers? You decide: if the option is enabled, numbers not in the customer directory only receive general information about the shop, prices and opening hours.

Which language does it reply in? It detects the customer's language and replies in one of the 9 supported languages, translating automatic messages too.

What happens outside opening hours? You choose whether the bot replies anyway, sends a closing message (at most once every 6 hours per chat) or stays silent.

Do updates have to be installed manually? No, they arrive in the app automatically, which only asks you to restart it.
