Repair archive and change log: full history without slowing down the software

The archive removes old repairs from the lists without deleting them, while each repair's log records who changed what and when: statuses, work items, customer data and messages sent.

After a few years of work a lab has tens of thousands of repairs: keeping them all in the lists slows down searching and causes confusion. With the Fixh IT repair archive old records leave the everyday lists and searches but remain available and can be restored. In addition, every repair has a change log that records who did what and when.

Why it matters for a repair shop

When a customer returns after months saying "you told me it was under warranty", or when an amount changes without explanation, you need to know exactly what happened to the repair. The log answers in seconds. The archive keeps daily work light without losing the history, which remains useful for warranties, statistics and disputes.

In practice

Archive. It is enabled from Company settings with "Enable archive". You can archive a repair manually, also several selected repairs together; in addition, every evening the software automatically archives delivered repairs opened more than a year ago. Archived repairs do not appear on any page or search of the software, only in Lab > Archive, grouped by year and searchable by number, customer, phone, fault, IMEI, serial number or device. A restored repair becomes visible everywhere again and is no longer archived automatically. Nothing changes for the customer: they still see it in their portal. Statistics and revenue still count it. Repairs still in progress on the Hub cannot be archived.

Change log. In the repair record, the Log tab shows every event in order: creation, status changes, work items and parts added or edited, customer and device data changed (with old and new value), notifications sent by SMS, email, WhatsApp or Telegram, courtesy devices, linked orders and moves between shops. Each row shows author and date. Device PINs and passwords are masked.

Quick guide

  1. Enable the archive in Administration > Company > Company settings.
  2. To archive manually, open a delivered repair and choose Archive, or select several from the list.
  3. To find it again, open Lab > Archive, choose the year or use search.
  4. To bring it back to the active ones, use Restore.
  5. To see the history of a repair, open the record and go to Log.

Real use cases

A lab with 40,000 repairs enables the archive: lists show only recent work and searching is faster, while old records stay one click away.

A customer disputes the final price: from the log the owner sees that the work item was added after the customer's approval on WhatsApp, with date and author.

A device comes back under warranty after 14 months: the repair is in the archive, it is found by IMEI and restored in a moment.

Tips and best practices

Use personal accounts for every technician, so the log shows the right person. Always check the log before disputing with a customer. If you work a lot with the repair warranty, search the archive by IMEI or serial number.

Common mistakes to avoid

Do not confuse archiving and deleting: archiving hides the repair but does not delete it. Do not look for an archived repair in the normal lists: it can only be found in the Archive.
