With Fixh IT customers sign shop documents by hand on a tablet, smartphone or touch screen, with a finger or a capacitive stylus, just as they would on paper. Many people call it graphometric or tablet signature: the signature stroke is captured, saved together with the signer's name, date and time, and automatically inserted into the PDF of the repair form, the quote or the privacy notice. No printing, no forms to scan, no paper archives.
Why it matters for a repair shop
Every repair starts with a document to sign: the intake form with the reported fault, accessories and conditions, then the quote to approve and the consent to data processing. On paper these sheets get lost, damaged and have to be searched by hand when a customer disputes something. With tablet signatures built into the repair management software every signature stays linked to its repair or customer and can be found in seconds from any workstation.
In practice
Fixh IT collects signatures at three moments. Repair form: at the counter the customer signs on the shop device during intake, or receives the receipt link by email and signs it online from their own phone. Quote: from the Quotes page you send the signing link by QR code, email (with the PDF attached) or WhatsApp; the customer reads items and amounts and signs. The quote moves to "accepted" and the shop receives an on-screen notice. Privacy and marketing: from the customer profile you generate the link to the privacy notice, the customer ticks the consents and signs.
For every signature the system stores the image of the stroke, the signer's name and the exact moment. For quotes signed online it also records the IP address and the browser used, and the PDF shows the note "Signed online". A document that is already signed cannot be signed again and an expired quote can no longer be signed. This keeps the collected evidence intact.
Legal value. The signature collected by Fixh IT is a handwritten electronic signature, accompanied by name, date, time and, for quotes, IP and browser. It is not an advanced electronic signature (AdES) with certified biometric data. For intake forms, quotes and consents of a repair shop it is usually enough. For contracts that by law require an advanced or qualified signature, use a certified service.
Quick guide
- Prepare a tablet or smartphone at the counter: nothing to install, a browser is enough.
- At intake fill in the repair and have the customer sign in the signature box.
- If the customer is not there, send the receipt by email: it contains the link to sign it online.
- For a quote open Documents > Quotes and use send for signature: QR code, link, email or WhatsApp.
- For privacy open the customer profile, generate the consent link and let the customer open it on the tablet or on their phone.
- Check the signed document in the PDF or in the record: signature, name and date are already there.
Real use cases
A customer leaves a laptop for a motherboard replacement: the technician fills in the repair form, turns the tablet and the customer signs with a finger. The signed copy is immediately in the PDF and the customer receives it by email.
A €180 quote for micro-soldering needs time to decide: the shop sends the link on WhatsApp, the customer signs in the evening from the sofa and the next morning the technician finds the "quote signed" notice and starts working.
A new customer at the counter has to give privacy and marketing consent: they read it on the tablet, choose which consents to give and sign. The choices stay recorded in their consent profile.
Tips and best practices
Use a tablet of at least 8 inches with a capacitive stylus: the signature feels more natural and is more legible. Before asking for a signature, go through fault, accessories and amount with the customer, because a signed document cannot be edited. Customise the repair conditions in document templates, so the customer always signs the current text. For long quotes prefer remote signing: the customer decides calmly and you have the IP and time of the signature.
Common mistakes to avoid
Do not have a quote signed before all items are entered: changing amounts after signing creates confusion about what the customer approved, so create a new quote instead. Do not send the link to an unverified number or email. Do not present the tablet signature as a qualified digital signature: it is a handwritten electronic signature, suitable for shop documents.
Frequently asked questions
What is a graphometric signature? It is a handwritten signature made on a screen with a finger or stylus instead of on paper. Fixh IT captures the stroke and inserts it into the PDF document together with name, date and time.
Do I need a special tablet or signature pad? No, any tablet, smartphone or PC with a touch screen and an up-to-date browser works; with a mouse you can also sign from a computer.
Can the customer sign from home? Yes, receipts and quotes are signed from a link (also via QR code) without apps or registration.
Is it legally valid? It is an electronic signature: together with name, date, time and, for online quotes, IP and browser, it documents the customer's acceptance. It is not a certified biometric advanced signature; contracts that require one need a certified signing service.
Where do I find signed documents? In the repair, on the Quotes page and in the customer profile, always with a downloadable PDF.
