Many customers cannot stay without a phone for days. That is why many repair shops lend a courtesy phone (or a PC or tablet) during the repair. With Fixh IT the loan device is recorded directly in the repair, with name, IMEI, serial number, value and daily cost. The software counts the days and reminds you to get it back at delivery.
Why it matters for a repair shop
An untracked courtesy phone is an asset that can disappear: nobody remembers who it was given to, since when, or whether it came back. Linking the device to the repair and the customer removes any doubt. If the loan has a daily cost, the accrued total is already calculated when the customer returns.
In practice
From the repair record you add the courtesy device with name (for example "iPhone 11 courtesy 2"), IMEI or serial number, handover date, device value and daily cost if you charge one. When the repair moves to "delivered", the software asks whether the courtesy device has been returned; on return it calculates total days and total cost. Every action ends up in the repair log.
The Lab > Courtesy devices page shows two lists: In use, with devices not yet returned in open repairs, and History, with all loans, including returned ones or those in closed and archived repairs. You can search by device, IMEI, serial number, customer or repair number.
Quick guide
- Open the repair and find the courtesy device section.
- Enter name, IMEI or serial, handover date, value and any daily cost.
- Save: the device appears among those in use.
- When the customer collects their device, confirm the return of the courtesy one.
- Check days and accrued cost and, if applicable, add it to the payment.
Real use cases
A customer leaves a Samsung for a motherboard replacement that takes a week: they receive a courtesy phone recorded with IMEI and the shop always knows where it is.
A shop charges €2 a day on loans beyond the first week: at delivery the accrued cost is already calculated by the software.
The owner opens the history and sees which courtesy device was lent the most and to which customers.
Tips and best practices
Give every courtesy device a unique name and always enter IMEI or serial number: it is the only way to tell them apart with certainty. Enter the device value, useful if the customer does not return it or damages it. Write the loan conditions in document templates, so the customer signs them at intake.
Common mistakes to avoid
Do not leave the fields empty: a device without name, IMEI or serial number is not counted. Do not close the repair without stating whether the courtesy device came back.
