Smart alerts are reminders that the software prepares on its own by looking at your data: every day, at the time you choose, they point out what needs attention in the shop. They appear as discreet boxes at the bottom right of the screen and stay there until you click them, so nothing gets lost even on the busiest days.
Why it matters for a repair shop
In a repair lab the most expensive problems are the ones nobody sees: a phone stuck for ten days in "waiting for part", a repaired laptop the customer never came to collect, a part in the wishlist that nobody ordered. With smart alerts the software puts them in front of you without you having to search the lists.
In practice
Five alerts are available, each enabled separately: Today's appointments (summary of the day's calendar), Completed repairs not collected (completed for longer than the days you set), Repairs stuck waiting (left too long in the waiting statuses you choose, for example "waiting for part" or "waiting for quote approval"), Wishlist items (parts still to order) and Incoming orders (customer orders expected today and supplier orders still to receive).
For each alert you set the time, days of the week and, where needed, after how many days it triggers. Times follow the company time zone and each shop receives only its own data. With the Preview button you immediately see what you would get today. Clicking the alert opens the list of the repairs or items concerned.
Quick guide
- Open Administration > Company > Smart alerts.
- Enable the alerts you need.
- Choose time and days, for example 9:00 from Monday to Saturday.
- For stuck repairs select the statuses to treat as "waiting" and after how many days to alert you.
- Use Preview to check the result and save.
Real use cases
Every morning at 9 the owner receives the list of devices repaired and not collected for more than 15 days and sends a reminder to customers before they pile up in the lab.
The purchasing manager receives the wishlist alert on Monday and prepares a single supplier order with all the missing parts.
At the counter, at opening time, the summary of today's appointments appears: staff immediately know who is coming and which parts to prepare.
Tips and best practices
Start with two or three alerts and realistic thresholds: too many alerts become noise. Use clear waiting statuses in custom repair statuses, so the stuck-repairs alert is precise. Combine the uncollected alert with automatic customer notifications or with Fixh Assistant on WhatsApp.
Common mistakes to avoid
Do not forget to choose at least one day and at least one waiting status: without them the alert cannot be saved. Do not set thresholds that are too low, such as one day, or the alert will flag repairs that are simply in progress.
